You may need to deactivate or delete a guest for a variety of reasons. To ensure security and General Data Protection Regulation (GDPR), Punchh does not delete guests' accounts in any situation outside of mass deletions, typically resulting in a mass creation of accounts. As per the current functionality, it is not possible to recover a deleted user once the process is completed.
**To complete this process your Admin Account must have all applicable permissions**
The ability to deactivate a guest is limited only to the roles of Business Owner, Business Manager and above.
How to Deactivate a guest:
- Search for a Guest email address on the top right of the Punchh Platform:
- Click Edit Profile:
- Click Guest Functions & click "Deactivate"
- When a guest's account is deactivated, they may no longer log in to the mobile app, as their account email has been changed in the Punchh system to "deactivated-username@email.com". Additionally, they will be unsubscribed from all further communication. However, their account will remain visible in the Platform. The guest's email will change to deactivated and the background is grayed.
How to Delete/Anonymize a guest:
- Click Guest Functions & click "Delete/Anonymize Guest?"
- When you first use this tool, you will see a display of the below definitions. Afterwards, simply click on "Choose a Reason" to see them again in the feature.
You will be presented two primary delete types and sub-reasons:- Anonymize: Deletes all the users PII (personally identifiable information), while keeping anonymized transaction data for reporting integrity. This is in compliance with GDPR/CCPA standards. Note the "Anonymize" delete feature option was added March 18, 2021.
- We recommend this option by default to keep accurate transactions history for valid guests while still respecting their privacy.
- 'Forget Me' and 'Inactivity' sub-reasons have the same functionality. It's important to provide the accurate reason for analysis purposes.
- Delete: Deletes the user and all associated transactions data permanently.
- We recommend this option when deleting a test user or some other valid reason for also purging transaction history.
- 'General' and 'Test Data' sub-reasons have the same functionality. It's important to provide the accurate reason for analysis purposes.
Note: With the options to select, each "Anonymize" option completes the same task, described above, and the "Delete" options do the same as described also. The only difference is the reason attached may be different per situation.

- The account will be marked for deletion which may take up to 7 days to complete. Once a guest is marked for deletion the "Delete/Anonymize Guest?" button will be removed from the guest functions.

Currently, the default days configured for deletion on all the brands is 7, however, this can be updated based on the requirement from the client. (E.g., enterprise clients want to delete test accounts in 1 or 2 days)
Only update the setting when needed to expedite the deletion process. Always revert back to the recommended 7 days to mitigate chances of deleting an account incorrectly.
Note. The setting should not be changed to 0 days as it is invalid. It should always be set to a minimum of 1 or more days.
Guest can also delete their own accounts via the mobile app!
Guests will have the option to directly delete their account within the app. This will follow the schedule set in User Incinerate Days. The business will be required to select their deletion reason. This is the same decision admins make in the platform today.
